Winner Verification Process
This notice explains how Aetheria Media Holdings S.r.l. ("we", "us", "our") selects and verifies winners of the "England vs Norway" conditional promotional giveaway (the "Promotion"). Selection as a Provisional Winner does not guarantee a prize; a prize is payable only after successful completion of all verification steps described in this notice and in the Official Rules.
1. Overview of the Verification Journey
1.1. The verification process is designed to ensure that prizes are paid lawfully, fairly, and securely to eligible, verified individuals. It includes the draw, notification, identity and eligibility checks, sanctions and anti-money-laundering screening, wallet collection, and final confirmation.
1.2. Each stage is documented and auditable. We maintain records of the draw, communications, verification outcomes, and payment details for as long as required by law.
2. Draw and Selection of Provisional Winners
2.1. After the forty-eight (48) hour Entry Window closes, we freeze the list of eligible entries, excluding disqualified, duplicate, test, invalid, and incomplete entries. We generate a cryptographic hash of the frozen dataset to provide an integrity record.
2.2. Five (5) Provisional Winners, plus a configurable number of reserve winners, are selected from the frozen eligible list using a cryptographically secure random number generator. The draw method, parameters, and timestamp are recorded, and a draw report is produced for audit purposes.
2.3. The draw is designed to be fair, unpredictable, and tamper-resistant. No entrant is entitled to observe the draw in person, to receive information beyond what we choose to publish for transparency, or to demand a particular draw methodology.
2.4. Reserve winners are selected so that, if a Provisional Winner is disqualified or does not complete verification, an alternative winner may be selected in accordance with the Official Rules.
3. Notification of Provisional Winners
3.1. Provisional Winners are contacted using the email address provided at entry. The notification will state the steps required, the deadline for response, and the information or documentation needed.
3.2. You must respond within the period stated in the notification. Failure to respond in time, or failure to provide requested information or documents within the stated period, may result in disqualification and the selection of an alternative winner.
3.3. We may send follow-up reminders, but we are not responsible for notifications that are blocked by spam filters, routed to junk folders, or fail due to incorrect, unreachable, or disposable email addresses provided by you.
3.4. We will never ask you to pay a fee, provide your private key, or send cryptocurrency in order to claim a prize. Anyone who makes such a request is not acting on our behalf and should be reported via the Contact & Complaints page.
4. Verification Checks
4.1. Provisional Winners are subject to checks that may include:
- confirmation of identity against the name provided at entry;
- confirmation of age (18 years or the higher local age of majority);
- confirmation of country of residence and eligibility under the Official Rules;
- sanctions screening and restricted-jurisdiction checks;
- politically exposed person (PEP) screening;
- anti-money-laundering and source-of-eligibility checks;
- fraud and duplicate-entry review; and
- any tax, legal, or regulatory checks required by applicable law.
4.2. We may request documentary evidence such as a government-issued photo identification, proof of address, or additional declarations. Information collected for verification is processed under the Privacy Notice and retained only as long as required.
4.3. We reserve the right to require notarised, certified, or translated documents where we reasonably consider them necessary to satisfy our verification obligations or to comply with law.
4.4. Verification is not a rubber-stamp process. We may decline to award a prize if we are not reasonably satisfied that the Provisional Winner is eligible, lawful, and has complied with all requirements.
5. Wallet Collection
5.1. Only after verification has begun, and only through a separate secure workflow, do we request cryptocurrency wallet details. You must not submit a wallet address during the initial entry or by email or any other channel.
5.2. You will select the supported blockchain network and enter your wallet address twice for confirmation. We validate the address format for the selected network, but you remain solely responsible for the accuracy and compatibility of the address you provide.
5.3. We never ask for, and you must never share, your private key, seed phrase, recovery phrase, password, or other wallet credentials. Anyone who asks for these is attempting to defraud you.
5.4. We strongly recommend that you provide a wallet address that you personally control. Use of exchange deposit addresses or custodial addresses that do not support the selected network may result in irreversible loss.
6. Outcome of Verification
6.1. A Provisional Winner who passes all verification checks is confirmed as a winner and paid in USDT through a separate authorised treasury process. The transaction hash is recorded for audit and may be provided to the winner upon request.
6.2. A Provisional Winner who fails verification, does not complete verification within the stated period, breaches the Official Rules, or is found ineligible will be disqualified and the prize forfeited. We may then select an alternative winner from the reserve list.
6.3. We will notify Provisional Winners of the outcome of verification by email. In some cases, particularly where legal obligations restrict disclosure, we may provide only a high-level outcome.
6.4. We may publish an anonymised winner list (for example, first name and country) for transparency. We never publish private personal information such as full name, address, email, wallet address, or transaction details.
